A new hire's first week sets their view of the company for a long time. An employee joining kit is one of the cheapest ways to make that week feel organised and welcoming. It is waiting on the desk, or arrives at home before day one, and it says "we were expecting you."
This guide covers what to put in a joining kit, three ready-made kit tiers by budget, how to brand a kit so people keep using it, and how to keep kits in stock across the year. Prices are per kit from our corporate gift store, before branding and GST.
What to put in an employee joining kit
A good welcome kit covers the things a new employee needs on day one and carries into their routine. Here is the checklist most HR teams start from:
| Item | Why it earns its place | Typical price |
|---|---|---|
| Laptop bag or backpack | Used daily; the largest brand surface in the kit | ₹540–₹2,700 |
| Insulated steel bottle | Goes everywhere; engraves cleanly | ₹345–₹1,200 |
| A5 notebook and pen | Needed in the first meeting | ₹390–₹765 (set) |
| Mug or tumbler | A personal item at the desk | ₹360–₹810 |
| Card holder or keychain | Small, useful, low cost | ₹60–₹225 |
| Phone or laptop stand | Hybrid and WFH set-ups | ₹120–₹450 |
| Welcome note | The most personal part of the kit | Printed in the box |
You do not need everything. Three or four well-made items beat eight cheap ones. Choose the items your people will actually use, then brand them consistently.

How to brand a joining kit people keep using
A joining kit is worn and carried in public, so the branding is seen by far more people than the employee alone.
- One consistent mark. Use the same logo version and colour across the bag, bottle and diary.
- Tone it down. A small debossed logo on a bag or a laser-engraved logo on a bottle looks premium. Large prints make people leave the bag at home.
- Add the joiner's name. A name on the diary or bottle costs little and makes the kit feel personal.
- Print the welcome note. A short message from the team lead or founder, printed on a card inside the box.
Our guide to corporate gifts with logo explains which branding method suits each material (engraving for steel, debossing for PU leather, printing for canvas and jute).
Keeping joining kits in stock through the year
Hiring is uneven, so kit logistics are where most programmes break. A few habits help:
- Order by quarter, not by year. Use your hiring plan to order each quarter's kits, plus a buffer of around 10% for surprise joiners.
- Keep the kit unbranded by name until needed. Brand the logo in bulk; add names only for confirmed joiners.
- Have a fallback kit. Keep a few starter kits on hand for last-minute joiners.
- Decide who ships. For remote hires, collect the delivery address with the offer acceptance and dispatch a week before the joining date.
- Review once a year. Ask recent joiners which items they used and drop the rest.
With no minimum order quantity, you can order monthly batches instead of storing a year of stock in the office.
Eco-friendly joining kits
If sustainability is part of your employer brand, swap the plastic-heavy items for cork, bamboo and jute. A tote bag, cork diary and reusable bottle make a kit that matches your values and still looks premium. See our guide to eco-friendly corporate gifts for options.
Common joining kit mistakes
- Too many cheap items. Stress balls and plastic pens get thrown away and cheapen the rest of the kit.
- Apparel without sizes. T-shirts and hoodies need size collection and create waste when sizes run out. Bags, bottles and stationery fit everyone.
- Arriving late. A kit that shows up in week three misses the moment. Order ahead of your joining dates.
- No note. The welcome message is what people photograph and share. Don't skip it.
Joining kits and tax
Items given for use at work, such as a bag or notebook, are generally treated as tools of the job. Separately, under the Income-tax Rules, 2026 (in force from 1 April 2026), gifts in kind up to ₹15,000 a year are tax-free for employees. GST paid on gifts is usually not available as input tax credit. Our GST and income tax on corporate gifts guide covers the details for your finance team.
Joining kits are also a year-round cousin of festive gifting. If you are planning Diwali gifts at the same time, see Diwali gifts for employees under ₹1000.

Frequently asked questions
What is included in an employee joining kit?

How much does a joining kit cost per employee?
A simple kit with a diary, pen and mug costs ₹500–₹1,000. A bottle-led five-piece kit costs ₹1,350–₹1,700. A complete kit with a backpack or laptop bag, bottle, diary and accessories costs ₹3,150–₹3,750 per employee, before branding and GST.
Can we order joining kits in small quantities?
